For years, the ritual was the same. Someone from IT would set up the portal, Communications would publish news nobody read, and employees kept asking on WhatsApp how to request time off.
The intranet existed. Few used it. And the budget renewed itself just the same.
What changes in 2026 is not another homepage redesign or a new "Culture" section. What changes is the entire interaction model. The intranet went from being a place you go to search to something that answers when you ask.
The portal that learned to listen
In September 2025, Microsoft launched the SharePoint Knowledge Agent: an AI assistant embedded directly in the portal that lets you search for information using natural language.
Not "searching the bar with the exact keyword." But asking:
- "What's the updated remote work policy?"
- "Show all contracts expiring this quarter."
- "Who handles approvals in the legal department?"
In June 2026, this feature was rebranded as Copilot in SharePoint, signaling that it moved from experiment to base product. Available in preview for tenants with Microsoft 365 Copilot licenses.
SharePoint stopped being a repository people tolerate. It became something that responds.
What no longer requires a click
SharePoint Copilot Apps entered public preview on July 9, 2026. The core idea is straightforward:
| Before | Now |
|---|---|
| Navigate the portal, find the right section | Ask the agent directly |
| Webparts on pages the user has to open | Components that appear in the agent's response |
| The user searches for information | Information finds the user |
| Intranet = destination | Intranet = knowledge layer |
Relevant news for the user, project status, personal dashboard, onboarding tasks, office map. Everything that used to require navigating to a page now appears when you ask, wherever you ask.
And not just in the portal. Since January 2026, SharePoint agents also live inside Microsoft Teams. The employee who never opens the intranet can interact with it without knowing, simply by talking to the agent in chat.
The border between SharePoint and Teams is fading. Not as a roadmap promise. As operational reality today.
What AI does not fix on its own
There's a fact that product excitement tends to bury:
The quality of the agent's output depends directly on the quality of the content you gave it to work with.
A poorly structured SharePoint, with outdated pages, documents without metadata, and libraries organized like the desktop of someone who never deletes anything, produces an agent that answers with garbage. Not because the AI is bad. Because the input is bad.
The Knowledge Agent includes tools to:
- Detect outdated content and suggest revisions
- Automatically fill in metadata from document content
- Organize libraries with AI-generated views
But it does not rewrite your information architecture. It builds on what already exists. If what exists is three years of chaos, the agent will be very good at answering from that chaos.
Organizations with established content governance are months away from having a functional AI intranet. Those without it have work to do first.
Someone needs to be responsible for what the agent knows
The paradigm shift brings a new responsibility that few teams are discussing yet.
| Previous model | Model with agent |
|---|---|
| Outdated page = usability problem | Outdated page = trust problem |
| The employee sees it, doubts it, asks someone | The agent cites old and new with the same confidence |
| Incorrect content goes unnoticed | Incorrect content reaches more people, amplified |
This forces a rethinking of who owns the content and how often it's reviewed. Not as a six-month project. As a continuous operational responsibility, distributed among those who understand each area's information.
The intranet that talks needs someone to tell it what to say.
And that someone cannot be just the Communications team.
The point
The conversational intranet is not a premium feature that large companies will implement in 2027. It's available today, expanding on its own as long as the tenant has active Copilot licenses, and changes the employee experience without requiring a new portal project.
What it requires is prior order. Clean content, metadata, clear ownership. Without that, Microsoft's most sophisticated agent will answer present-day questions with data that should have already been gone.
